Velo Girl Rides provides event management services for selected cycling events. We’ve been doing this for years, combining our talents for organization and safety with our experience riding in, volunteering, and running large events.
Currently we manage the Cycle To Farm events (North Carolina & South Carolina) and the Bookwalter Binge Gran Fondo (North Carolina). We also volunteer with a few others: Mountains of Misery (Virginia) and Fletcher Flyer (North Carolina), and running events when we have the time. The Velo Girl was the first paid director for the Fletcher Flyer in 2013. We love group cycling events!
What Makes Us Different?
When Velo Girl Rides organizes an event, it is tapping project management and fiscal oversight skills honed by 20 years experience in corporate finance and 30 years of business management by the two principals, Jennifer Caldwell-Billstrom and David Billstrom.
This past experience includes launching new products, reorganizing teams for better performance, raising money from investors, and various leadership positions in companies ranging from raw startup stage to Fortune 100. Obviously, these skills have applicability to large and complex events with a hundred (or more) volunteers.
Jennifer is also a USA Cycling certified Race Director.
We operate events with a first priority towards safety of both the participants and bystanders, reflecting David’s 30 years of experience in public safety including EMT, firefighting, and search and rescue.
That said, we try to strike a balance between the unfettered joy of a challenging event, and risk management. And above all, being as prepared as we can be for the unanticipated.
Organizing Your Event
Our work for each event includes:
- Months-long timetable set up in advance, regularly updated
- Detailed written documentation for each function of the event, especially volunteer roles
- Tracking every volunteer in software, for accountability and “thank you” followup
- Partnerships with proven vendors that can reliably provide services needed for a smooth and safe event.
- Close monitoring of financial data and status
- Written formal Safety Plan, in collaboration with public safety agencies
We also have a cache of equipment, including sound system, stage, safety vests, radios, signage, and other assets needed on the event day.
With our experience and relationships, we work closely with public safety agencies so they are included in the planning process, which they appreciate. We have worked with over 30 different first responder agencies in a three state area.
As the owners of our own event, we know how important the flow of information is to the event owners. So we have made it a practice to provide a written monthly status report, in the months leading up to event day.
And after the event is over, we provide a detailed “results” report including suggestions for the future, within 30 days.
